If you have ever said "my load calcs live in a spreadsheet that no one else can verify or use," you are not describing a minor inconvenience. You are describing a structural problem in your business. That spreadsheet works fine on the day you built it, for the job you had in mind. But HVAC contracting does not stay that tidy. Projects pile up, engineers rotate, clients and consultants ask questions, and that file, buried on your desktop with a name like "LoadCalc_FINAL_v3_USE THIS ONE.xlsx", becomes a single point of failure for work that cannot afford to fail.

Your spreadsheet is written in your dialect. The cell references, the assumptions baked into formulas, the tab that says "don't touch": it makes complete sense to you and almost none to anyone else. If you are at another site, travelling, or simply trying to delegate, your team cannot step in without calling you. That is not a workflow. That is a bottleneck with your name on it.
When a client's consultant, a PMC, or a sceptical facility head asks how you arrived at the TR figure, handing over a spreadsheet does not answer the question. They would need to audit every formula, trace every input, and trust that nothing was manually overwritten. When the spreadsheet gets complicated or the tender deadline gets tight, shortcuts happen. A quick adjustment here, a "close enough" there, a load that gets estimated from sq ft/TR because re-running the full Carrier E-20 sheet takes too long. The problem is not that contractors are careless. The problem is that the tool makes rigour hard and estimation easy. Oversized and undersized systems turn into comfort complaints, service calls, and disputes, and those costs compound.
The calculation lives in a file. The project lives in your project tracker, your email, or your head. The client record lives somewhere else again. A formula file with no input record does not demonstrate this, which is why review requests usually end with the contractor redoing the work.
